The Estimating Executive Assistant is a member of our Preconstruction team, working closely with department leadership to further the department’s process improvement goals and standardization efforts. 

The successful applicant will be a valued member of our team working alongside Preconstruction leadership and Project Estimators to ensure the success of each project, as well as the overall advancement of the department. Seeking candidates with experience in executive administration, preferably in a construction management or general contracting environment.

Key Interfaces: Vice President of Preconstruction, Department Leadership, Project Estimators, Project Managers, Project Administrators, Marketing Coordinators, Business Development Managers and Accounting Staff Members

Essential Duties and Responsibilities:

  • Provide executive support for the Vice President of Preconstruction and oversee administrative upkeep for the department, to include reporting, invoice approvals, expense reporting, travel planning, and meeting coordination.
  • Work with Preconstruction leadership to develop and implement process improvement initiatives to build internal capacity and drive a culture of continuous improvement
  • Maintain government and industry certifications, as well as support compliance reporting as required by our clients.
  • Document management across network drives, web-based bid solicitation and project management platforms
  • Data management in customer relationship management platforms
  • Maintenance of forms library and process guide updates
  • Develop and maintain positive relationships with Trade Partners and internal team members

Qualifications:

  • Demonstrated experience in problem solving and strategic process improvement
  • Ability to manage competing priorities and shift focus as needed to accommodate external deadlines
  • Strong written communication skills
  • Confident verbal communication
  • Competency in Microsoft Office (Outlook, Excel, Word, SharePoint)
  • Experience with customer relationship management platforms
  • Task oriented with attention to detail
  • Strong organization and document management skills
  • Interest in lifelong learning and growth
